Shift schedule builder

Turns forecast workload into a week of shifts at the lowest labour cost, checks each one against Ontario employment rules and exports to Excel.

Open the tool

What it does

Scheduling by hand either overstaffs quiet days or leaves busy ones short. The builder treats the week as an optimisation problem: cover the forecast workload at the lowest cost without breaking any employment rule, then explain any trade-offs it had to make.

Who can use it

  • Department and store managers
  • Operations and HR coordinators
  • Owners doing the schedule themselves

Where it fits

  • Any team that works shifts and whose workload changes by day

How to use it

  1. Enter or load the workload forecast per day
  2. Add staff with their availability, wages and skills
  3. Set the rules such as minimum rest and maximum hours
  4. Build the schedule and review any rule warnings
  5. Export to Excel to share

Limitations

  • Rules are set up for Ontario's Employment Standards Act and need changes for other provinces
  • Large teams (hundreds of staff) solve slowly in the browser

What's next

  • Restaurant and retail templates with role mixes
  • Staff availability from a shared form
  • Other provinces' rules

Run it on your own data

  1. In the browser (today)Free, no sign-up. What you enter stays on your device. Good for trying it and for small teams.
  2. On your files or databasePoint the same logic at your exports or a database view (PostgreSQL, SQL Server, Azure SQL or DuckDB), on your own machine or network.
  3. As a pipeline and warehouseA scheduled ETL job pulls from your systems (reservations, point of sale, inventory, payroll) into a star-schema warehouse, runs data-quality checks, and the tool or a Power BI report reads the result every morning.

What that adds here

  • A solver on a server handles large teams in seconds
  • Read availability and time-clock data from your HR or payroll system

How I'd set it up for you

I'd map your exports or database to the tool's model, package the job in a container that runs on your server or cloud account, add the checks your data needs, and hand over the code and a runbook. Your data stays on your systems. Get in touch if you'd like it fitted to your business.
