1Today's rooms
One row per room from your PMS (property management system) room status report. Departure = guest checks out today, needs a full clean. Stayover = guest stays, needs a lighter service. Vacant clean and out of order rooms need no cleaning.
Columns in this order: room, floor, status, check-out time, next arrival time, VIP (yes/no), early check-in (yes/no). A header row is fine; it is skipped. Floor can be blank: it is taken from the room number.
| Room | Floor | Status | Expected check-out | Next arrival | VIP | Early check-in |
|---|
CSV columns: room, floor, status, checkout, arrival, vip, early. Status can be written in full or as DEP / SO / VC / OOO. Times use the 24-hour clock (14:30). Leave check-out blank to use the hotel's standard check-out time; leave arrival blank when no one is due in.
2Attendants on shift
Who is cleaning today, when they start and finish, and the floors they know best (for example 3-4 or 5, 7; leave blank for any floor).
| Name | Starts | Ends | Preferred floors | Paid minutes |
|---|
3Time standards
How long each job takes in your hotel. Use your own averages; the sample uses common full-service figures.
Today's board
The plan in one look. Ready time = when the room is cleaned and inspected. A room is at risk when it will be ready less than 30 minutes before the guest arrives, and late when it will be ready after.
4Live progress
Tick a room when it is done (here, in the table below or on a board card). If the day changes (a sick call, a late check-out, an extra early arrival), press Reassign to rebuild the order for the rooms that are left.
5Board cards
One card per attendant, in the order to clean. Expected finish assumes the standard minutes and includes travel between floors and waiting for check-outs.
Workload balance
Minutes of work given to each attendant against the time they have on shift (after the break).
Workload by attendant
The same numbers as a table.
| Attendant | Rooms | Work min | Shift min | Load | Floors |
|---|
Every room
Who has each room, when it should be ready and how that compares with the guest's arrival.
| Done | Room | Floor | Type | Flags | Attendant | Order | Check-out | Ready est. | Arrival | Margin | Status |
|---|
How it's calculated
Which rooms need work. Departures take the departure minutes and cannot start before the guest's expected check-out time. Stayovers take the stayover minutes and cannot start before the "stayovers can start from" time. Vacant clean and out-of-order rooms need no cleaning.
Deadline for each room. Ready by = next arrival time, minus the VIP lead time for VIP rooms. A departure with no arrival is due by 18:00 for ordering purposes only. A stayover is due by your "stayovers done by" time. An early check-in with no arrival time entered is treated as 12:00.
Building the order. The tool simulates the shift minute by minute. Whenever an attendant becomes free, it scores every room still waiting and gives them the best one. The score adds up: minutes they would wait for a check-out; a penalty for changing floor (travel minutes plus 40, plus 4 per floor of distance, to keep each attendant on as few floors as possible); 40 if the floor is not one of their preferred floors; an urgency term from the room's spare time before its deadline (half a point per minute for the first two hours, then a tenth, so rooms needed soonest come first but a room due tonight does not pull someone off their floor); minus 45 for a VIP; minus 45 for an early check-in; plus 30 for stayovers so departures with arrivals go first; plus 200 if the room would end after their shift. Because the next room always goes to whoever is free first, the work spreads evenly across shifts. A break is added at each shift's midpoint. Ready time = finish + inspection minutes.
Flags. Margin = arrival minus ready time. Late = negative margin. At risk = under 30 minutes. "After shift" = the room only fits if someone stays past their end time; add an attendant or approve overtime.
Reassign. Rooms ticked as done keep their attendant. Every other room is rebuilt from the time you choose (now, by default), starting each attendant from the floor of their last finished room. Attendants whose shift has ended get no new rooms unless nobody else is on.
Limits. This is a fast rule-based plan (a heuristic), not a mathematical optimum. It does not know about do-not-disturb signs, room size, suite credits, linen runs or how fast each person works. Treat the times as estimates and adjust by hand where you know better. Your data stays in this browser (local storage). Nothing is sent anywhere.
